Erasmus+ non-Europe (ICM)

Since 2015, UP has offered university students to study within the Erasmus+ International Credit Mobility programme (abbreviated as E+ ICM). It is a programme that supports the exchange of students and employees of universities with countries outside of Europe. These are partner countries that do not participate in the standard Erasmus+ programme.

Mobility of students for a study stay is realized on the basis of a tripartite agreement between the student, the receiving and the sending institution on the basis of a pre-signed inter-institutional agreement.

Long-term study mobilities lasting 2-12 months can also be completed by students as combined mobility, i.e. by combining a physical trip with a virtual component.

Information for candidates

What are the conditions of participation?

  • A valid inter-institutional agreement has to be in place before implementation can take place.
  • The student is registered at an accredited study programme of the UP (Bachelor’s, Master’s or Doctoral study programme).
  • The student can apply in the first year of HE studies (full-time, part-time or distance study).
  • The duration of the student mobility always within one academic year will be:
    • 5 - 30 days in case of short-term mobilities (doctoral study students)
    • 2 - 12 months in case of semestral mobilities (bachelor, masters and doctoral study students)
  • The total maximum of all Erasmus+ study mobilities and Erasmus+ traineeships per study cycle is 12 months.
  • For the entire duration of the planned mobility you will be a UP student (it is not possible to terminate or suspend your studies at PU prior to or in the course of your mobility).
  • Selection criteria – HE level, transparent, fair, coherent, documented, public.
  • A student can complete a voluntary Online Language Test in the EU Academy platform (OLS). Information about the test is sent by the Office for Mobility coordinator. After passing the test, the system offers the student access to a voluntary online language course, which the student can use for free up to 4 months after the end of the mobility.

Short-term Doctoral Mobility

  • To better meet the diverse learning and training needs of doctoral candidates, doctoral students can undertake short-term physical study or traineeship mobility periods abroad lasting between 5 and 30 days. Adding a virtual component to the physical mobility is encouraged.
  • The base amounts of individual support (both for study and traineeship) are set as follows:
    • 1st to 14th day of the physical activity 70 EUR/day
    • 15th to 30th day of the physical activity 50 EUR/day

 

What do I need to do to be able to join the programme?

  • Find out how the programme is organized at the faculty. The best way to do this is to contact the International relations officer at the Dean’s Office of the relevant faculty.
  • If you have the name of the programme coordinator at the department, please refer directly to the department. An important factor is whether the faculty/department has a student exchange agreement or agreements compliant with your study course and language skills.
  • Find out the requirements and dates of the selection procedure. The criteria and dates are specified by the faculty/department.
  • Find out the impact of the exchange programme for your studies at UP (recognition of courses studied abroad, the need to prolong your graduation date, an individual study plan etc.).
  • Once the results of the selection procedure have been posted, please follow instructions in the section below.

IMPORTANT NOTICE: Due to the war conflict in Ukraine, all agreements with universities in Russia have been suspended. This means that inbound and outbound mobilities to and from these universities are currently not possible.

Grant for students

  • Erasmus+ grants are designed to cover a part of student mobility costs and contribute to the increased costs that the mobility period abroad generates.
  • Grants are paid by the UP Economic Department from the Erasmus+ financial resources, the International Credit Mobility project.
  • Grants are paid based on signing the Grant Agreement (before mobility).
  • Grants are transferred as a lump sum into the bank account of the student (a Czech bank account in CZK or EUR).
  • Financial support cannot be used to cover costs that are already covered from other EU activities/programmes. Students taking part in Erasmus Mundus (Joint Master Degree) cannot be at the same time beneficiaries of Erasmus+.
  • The grant has 2 components – mobility costs and travel costs.
  • A grant for outbound students equals 700 EUR per month.
  • For the scholarship purposes, one month equals 30 days. If the student mobility does not last for a whole number of months, the grant for the last month is calculated on the basis of the number of days (one day = 1/30 of the monthly rate).

TRAVEL INSURANCE

  • Travel insurance is provided by Palacký University.
  • The same conditions as in the classic Erasmus+ apply. See Travel insurance.
  • Every student is obliged to take out travel insurance before departure.
  • Additional insurance is arranged and paid for by the student himself.

Academic recognition

  • During the Erasmus+ ICM study stay, it is necessary to obtain at least 20 ECTS credits for each semester of study. This condition applies to bachelor's and master's degrees.
  • The recommended number of credits in the study plan is 20-30 ECTS credits per semester. In the event that the student does not meet the conditions defined in Article No. 7 of the so-called Grant Agreement for Erasmus+ study stays and thus does not meet the minimum requirements with regard to the number of ECTS credits obtained, he will be asked to return part of the allocated financial contribution. This does not apply if the student was prevented from meeting the minimum requirements by an unforeseeable situation or event that he could not control and about which he immediately informed the program coordinator at UP. The amount of the required amount will be determined as a proportion of the credits actually obtained for the given semester of the study stay and the minimum number of ECTS credits per semester.
  • The recommended number of credits for doctoral studies is not specified. Doctoral students must document the so-called Confirmation of Erasmus+ activities after completing their study stay.
  • Most universities outside the EU do not use ECTS, and therefore it is necessary to agree in advance with your department/faculty coordinator on the method of recalculating the achieved credits. Attention – the Learning Agreement document already states recalculated ECTS credits!
     

Green Erasmus

  • Students who use environmentally friendly, sustainable means of transport to and from the host country can receive a financial bonus. This bonus recieve students goint to/from countries: Bosnia and Herzegovina, Ukraine.
  • Eligible means of transport are train, bus or the use of carpooling.
  • You need to submit a corresponding proof (bus or train tickets or fuel receipts for the round trip) to UP Mobility Office within 15 days from the end of your study period - upload the tickets do your ECTS departures.
     

Participants with an economic barrier

  • Students with an economic barrier (based on the right to a child allowance or social scholarship) and low-income students with children or dependents (based on a certificate proving this fact) can be added up to EUR 250 per month to the standard Erasmus+ scholarship amount, and due to the type of mobility and length of stay.

  • The student submits an application for an increase in the scholarship to the Erasmus+ programme coordinator at the UP Office for Mobility no later than 10 days before concluding the grant agreement.

  • Students that do not receive child allowance from the Czech government can apply for the top-up provided they submit a proof they receive similar allowance under comparable conditions in their country of origin.

 

Participants with special needs

Students with physical, mental or health disadvantages can apply via the UP Office for Mobility for additional financial support to cover the increased costs that will arise as a result of ensuring the necessary conditions for their stay abroad (eg. special housing, regular medical examinations, accompanying persons, adapted study materials, etc.). The costs incurred must be supported by documents.

The student will deliver the scholarship application for students with special needs to the UP Office for Mobility no later than 10 days before signing the grant agreement. Before submitting the application, an individual consultation with the relevant coordinator of the UP Office for Mobility is necessary.

Before the mobility

First, the student must register for the selection process through the www.mobility.upol.cz application and then go through the proper selection process at faculty. It does not apply to FF UP students, they arrange their mobilities in STAG. If the student meets the necessary requirements and is nominated for his/her study stay, the coordinator from the Office for Mobility RUP will contact him/her and inform him/her of the next procedure.

Before departure, the student must hand in/send the following documents to the Office for Mobility RUP (FF students only hand in points 2, 4, 5, the rest of the documents are uploaded to STAG):

  • Application form (see Documents section)
  • Acceptance letter from a foreign university (must contain specific dates of starting and ending studies, including orientation days and exams)
  • Learning Agreement (pay attention to the correct filling in of the contacts in the headline of the document, Table A and Table B)
  • Bank account declaration (see Documents section)
  • Grant Agreement (can be viewed in the Documents section, drawn up and signed at a personal meeting with the coordinator from the Office for Mobility RUP)
  • Upon signing the Grant Agreement, the student will receive the Erasmus+ Student Charter and General Conditions. At the same time, the student will receive information on how to arrange Travel Insurance

During the mobility

  • The student immediately informs the coordinator from the Office for Mobility RUP about all changes (shortening or extending the stay) and any problems with the fulfilment of study obligations. The student also informs the department and faculty coordinator about the changes and ensures that the subjects are transcribed in STAG.
  • In case of changes in the LA (Learning Agreement), the student fills in Changes to the learning agreement form, has it confirmed by the host institution, the coordinator from the home faculty/department (institute) and uploads the signed document to STAG/hands over the relevant coordinator. Changes must be approved within 30 days of the start of the study stay, or from the start of classes.

 

Extension of stay

The study stay can only be extended within one academic year, if the internal regulations of the sending institution allow it, and if the following conditions are met:

  • There is a written consent of the receiving and sending institution to extend the study stay.
  • An addendum to the Grant Agreement concluded between the student and the sending institution before the end of the original study stay is drawn up.
  • The extension period follows the original study stay.
  • The maximum duration of the study stay is not exceeded, i.e. 12 months in one study cycle.
  • The student must secure an extension of the travel insurance.

After the mobility

After returning from mobility, the student is required to do as follows:

  • Complete the EU Survey in the form of an online questionnaire in the European database Mobility Tool+. After the mobility, the student receives an email requesting him/her to complete the report. Erasmus+ grants are conditioned by the submission of a final report.
  • Submit the original of Confirmation of Erasmus+ Study Period, issued and approved by the receiving organisation (the document contains: the name of the participant, the start and end date of the study, the signature of the coordinator and the stamp of the university). In case the receiving organization does not offer such document, use the form available in the Documents section. The confirmation must be issued only at the end of the study stay (max. 3 days before the end date specified in the Grant Agreement). The student will deliver the original document to the coordinator from the Office for Mobility RUP within 14 days after returning to the Czech Republic.
  • Submit the Transcript of Records, issued and approved by the receiving organisation and bearing the name of the participant and his/her learning outcomes. Students of doctoral study programmes submit the Confirmation of Erasmus+ activities describing the study activities during the mobility. Submit the Confirmation to the International Relations Office at the faculty within 1,5 month from the end of the mobility. The date of the last exam taken must be the same as the end date stated in the Grant Agreement. The date of issuance of the Transcript of Records/ Confirmation of Erasmus+ activities must be the same (or later) as the date indicated as the end date of the mobility in the Participant Agreement.
  • At the faculty/department, ensure the recognition of completed courses in STAG. Recognition of a pre-approved study plan is a condition of the Erasmus+ programme, the student applies for recognition even if he does not lack the credits to complete his studies at UP!
